Insurance Preauthorization
You Decided the Patient Needs It.Someone Else Still Has to Say Yes.
Preauthorization decides whether a service gets paid, and it happens before the patient is ever seen. The request, the clinical documentation, the payer’s answer, the approved units and the date it all expires have to be tracked by somebody.
VixisAuth™ is where that work lives: what has been asked for, what the payer has said back, what is still open, and what is coming up for renewal.

The Work Happens Before the Visit, and It Is Nobody’s Job.
Each payer wants it its own way
A portal here, a form there, a fax somewhere else, and a different set of clinical criteria behind each one. What satisfied one plan will not satisfy the next.
It falls between desks
The front desk thinks clinical is handling it, clinical thinks billing is handling it, and the request sits where somebody left it.
The documentation is the holdup
A request comes back needing notes attached, and the clock starts again. Nothing is wrong with it except that it is not finished.
Approvals run out quietly
An approval is for a number of units between two dates. Both run down without announcing it, and the one that lapses is the one nobody was watching.
And the denial arrives after the care
By the time the claim comes back unauthorized, the patient has been seen and the service has been delivered. That is the most expensive way to find out.
That is why we built VixisAuth™: not to decide what a payer approves, but to make sure nothing is sitting still waiting on us.
What VixisAuth™ Actually Does.
Everything described here is on the screen above. It is a working queue, not a report you read after the fact.
A queue with an owner on every row
Patient, payer, the service and its code, where the request stands, and the next action it needs — with a named person assigned to it. Work with nobody’s name on it is work that waits.
Status in the payer’s terms
Submitted, awaiting the payer, more information needed, approved, expiring soon. The states are the ones preauthorization actually passes through, including the ones nobody enjoys.
Units used and units left
An approval is rarely open-ended. The detail panel carries what was approved, what has been used against it and what remains, so the visit that would exceed it is visible beforehand.
The dates it is valid between
An approval is good between two dates and no longer. The ones nearing the end of their window are grouped together, so a renewal can be started while there is still an approval to work under.
The documentation, attached to the request
What was sent, and when it was sent, stays with the authorization it belongs to — so a request that comes back for more information does not start from a blank page.
A record of what happened
Submissions, responses received and documents attached, each with its date, plus the follow ups that are coming. When a payer says it never arrived, you are not reconstructing it from memory.
From the Decision to Treat, to an Approval You Can Still Use.
The last step is the one most practices never get to, and it is the one that stops the same request being made again from scratch.

We Do Not Approve Anything. The Payer Does.
A payer decides whether an authorization is approved, under its own criteria, on its own timetable. Nothing CareVixis does changes those criteria, and no software changes them either. Be careful of anyone who suggests otherwise.
What we can be held to is the part that is ours: that the request is complete before it goes, that the documentation is with it, that somebody’s name is on it, that the answer is chased when it does not come, and that an approval still in use is not allowed to lapse unnoticed. The workspace shows that plainly — requests waiting on a payer, requests sent back for more information, and requests that need attention are all states it displays, because that is how this work actually goes.
And the people doing the chasing are a U.S.-based CareVixis team working your account, not a queue in another time zone.

You Do Not Have to Move Systems to Use It.
Your clinicians keep documenting where they already document, and your schedule stays where it is. VixisAuth™ sits alongside what you run, so the authorization work has one home without the rest of your practice having to move.
- Keep the system your team already knows
- Clinical documentation stays where it is written
- One place to see what is open and with whom
- Approvals, their units and their dates in one view
- Your practice’s name on anything a patient sees
- U.S.-based people and U.S. data centers, with zero outsourcing
It is also one part of a connected revenue solution rather than a tool on its own: an authorization that is in place before the visit is what keeps a claim from coming back unauthorized, which is the kind of denial VixisTrace™ would otherwise be chasing and VixisIQ™ reporting on.

And What We Will Not Put a Number On.
Being clear about this is part of the job. If a vendor quotes you a figure for any of it, ask what it was measured on.
CareVixis publishes no approval rate, no turnaround time, and no figure for staff time, volume or cost. What any of those would be for your practice depends on your payers, your specialty and the mix of services you authorize, and we would rather look at that with you than print an average.
We also do not describe this as guaranteeing approval, because it cannot. A payer decides whether an authorization is approved. What we commit to is the work that leads up to that decision and the follow up after it.
Nothing here is legal, coding or billing advice, and nothing on this page is a guarantee of payment or of approval.
