For practices using TherapyNotes

Your Claims Left TherapyNotes. Do You Know What Happened Next?

It submits the claim, scrubs it and posts the remittance. None of that tells you why a claim was denied, or whether the same denial has been arriving every month since a payer changed a policy. Keep TherapyNotes. Add the part that asks why.

TherapyNotes Is Doing Its Job.

Your notes get written, your claims go out, and the remittance comes back and posts against the right clients.

None of that is the problem.

Posting an ERA Is Not Reading It.

Posting is bookkeeping: the payment lands where it belongs and the ledger balances. Reading is asking what the payer actually did and why.

So Nobody Asks the Second Question.

The remittance is full of answers about adjustments, denials and payer behaviour, and it gets filed the moment it balances.

The information was there. It was simply never read as information.

Reading the Remittance Is the Part We Do.

CareVixis reads what came back on a schedule, groups denials by cause instead of by client, and reports what changed against the months before.

That is billing work rather than bookkeeping, and it is where the revenue is.

Keep TherapyNotes.

The TherapyNotes workflow your practice knows does not move. What changes is what happens to the remittance data after it arrives.

Keep TherapyNotes. Change what happens after the data comes back.

The detail

Everything below is the evidence for what you just read.

What TherapyNotes publishes about its own platform, the difference between posting an ERA and reading it, a ten-question framework you can put to any billing company, and the source for every fact on this page. If you have what you came for, you can stop here.

Do I have to replace TherapyNotes?

No. Keeping it is a supported outcome, not a fallback. Your clinicians know it, your notes are in it, and replacing it would not answer the question that usually brings a practice here, which is about what happens to claims after they leave the software.

Does CareVixis work with TherapyNotes? Yes, in the sense that matters: you keep TherapyNotes and CareVixis manages the revenue cycle around it. CareVixis claims no API integration, certification or partnership with TherapyNotes. What gets agreed before any commitment is which revenue-cycle data can be obtained, and how.

Credit where it is due

TherapyNotes Is Doing Its Job

Practices are often told their software is the problem. Usually it is not, and TherapyNotes covers the submission side properly. Everything in this table is quoted or summarised from TherapyNotes' own published documentation.[1][2]

TherapyNotes billing capability as TherapyNotes publishes it. CareVixis has not independently tested these features and states them as the vendor's own descriptions.
What it doesHow TherapyNotes describes it
Electronic claimsSubmit primary and secondary claims "electronically with just one click", with modifiers for needs such as telehealth or supervision.
Clearinghouse reach"With integrated clearinghouse features included in your account, you have access to submit claims and receive updates from over 2,000 payers nationwide."
Claim scrubbing"Our proprietary scrubbing method empowers accurate submissions, warning you of potential claim errors."
Eligibility"Real Time Eligibility (RTE)", which TherapyNotes says "supports nearly 900 eligible insurance payers".
Claim statusShows "claim status details throughout the submission process from the clearinghouse to the payer".
ERAEnrol to receive electronic remittance advice inside the account, with "assisted ERA payment posting" that pulls information from ERAs to help post payments.
Patient sideClient payment tracking, integrated credit card processing, client statements, superbills and CMS-1500 forms.
ReportingBilling reports and aging reports, with custom filters and export to a spreadsheet.

That is a capable billing stack, and a practice using all of it is doing better than most. The gap this page is about is not a missing feature.

The gap

Posting an ERA Is Not the Same as Reading It

Assisted posting takes the remittance and applies the money. That is exactly what it is for, and it saves genuine time. When it finishes, the payment is posted, the balance has moved, and the file has done its job.

Nobody counted it. The reason code that came with it was never compared against the same code on the other forty claims that month, or against last quarter, or against what that payer does to that service line for that clinician.

So the fortieth instance of a denial looks exactly like the first. A practice can work denials competently for years and still see the same one every month, because nothing in the process is responsible for asking why.

What the software answers

  • Was the claim submitted?
  • Was it accepted or rejected?
  • What did the payer pay?
  • What is outstanding, and how old?

What it was never built to answer

  • Why did this claim fail?
  • Is the same cause repeating, and with which payer?
  • Are we being paid what the contract says?
  • Did the fix we made last month actually work?

Those four questions are the job of revenue management, not of practice management software. No EHR is failing by not answering them.

Where This Fits Around What You Already Run

An illustration of the general flow for a practice keeping TherapyNotes. It is not a description of any specific configuration, and the exact arrangement is confirmed per practice.

  1. TherapyNotesThe session is documented, the charge is created, the claim is prepared and scrubbed.
  2. Clearinghouse and payerThe claim is transmitted and adjudicated, or rejected before adjudication.
  3. The remittance comes backPayment, adjustment, denial and patient responsibility, with the payer's reason and remark codes.
  4. VixisIQ™Where appropriate data can be obtained and normalized, the remittance information is analyzed for patterns by payer, clinician, service line and time.
  5. VixisTrace™An individual problem claim is investigated for a root cause rather than only corrected and resent.
  6. Someone does something about itCorrective action, a named owner, a due date, and recurrence monitored so you can tell whether it worked.
Why this practice type, specifically

Where Behavioral Health Claims Actually Break

A TherapyNotes practice is a behavioral health practice, and behavioral health denials cluster in places a general billing service may not look first.

Authorization units running out mid course

Ongoing therapy is authorized in units or visits. The authorization expires quietly, the sessions continue, and the denials arrive weeks later for care already delivered.

Credentialing gaps that look like coding errors

A clinician starts before their effective date with one payer. The denial reads like a claim problem and is reworked as one, repeatedly, until someone checks the enrollment date.

Behavioral health carve-outs

The medical card says one payer; the behavioral benefit is administered by another. Claims go to the right company and the wrong network.

Telehealth place of service and modifiers

TherapyNotes supports telehealth modifiers on the claim. Whether a given payer wants that modifier, that place of service, this month, is a payer policy question.

Time-based codes and session length

Psychotherapy codes turn on documented time. A pattern of downcoded or adjusted claims is visible across many sessions long before it is obvious on one.

Many licence types, one claim format

LCSWs, LMHCs, LPCs, LMFTs, psychologists, psychiatrists and PMHNPs are not reimbursed identically by every payer. The rules differ by licence and by plan.

None of these is a criticism of your software or your biller. They are payer behaviour, and they are found by looking across claims rather than at one. Mental health revenue cycle and credentialing go into each in more depth.

A framework you can use on anyone

What Should You Look for in a Billing Company for a TherapyNotes Practice?

Ten questions worth putting to any billing or revenue management company, CareVixis included. A vague answer to any of them is the answer.

  1. Will they work inside TherapyNotes, or ask you to leave it?

Ask directly, and ask what changes if you keep it. A company that needs you on its own software is solving its problem, not yours.

  2. Do they understand behavioral health reimbursement specifically?

Ask about authorization units on ongoing therapy, carve-out plans and licence-level differences. General billing competence is not the same thing.

  3. Who works a denial, and what happens on the third repeat?

Rework recovers a claim. Root cause analysis is what stops the fourth one arriving.

  4. Do they analyze remittance data, or only post from it?

Posting is bookkeeping. Analysis means the reason and remark codes are counted across payers and over time.

  5. How is A/R actually worked?

At what age does a balance get attention, who decides to write one off, and who is watching filing limits?

  6. Who owns credentialing and enrollment dates?

In behavioral health this is a revenue question, not an admin one. Ask what happens to claims rendered before an effective date.

  7. What will you see without asking?

Then the harder version: what would have told you a claim had not moved in 60 days?

  8. Is any of the work performed offshore?

Ask about subcontractors as well as staff. CareVixis is 100% US based and does not outsource.

  9. What else are you expected to license?

If the reporting in the demonstration depends on a separate product, that belongs in the price comparison.

  10. Who is accountable, and can you reach them?

Ask for a name, and ask how you reach a decision maker rather than a queue.

Using TherapyNotes? Keep It.

CareVixis does not need to begin a relationship by asking a practice to abandon software that works for it. Your clinicians are fast in it, your documentation lives in it, and a migration has a real cost that answers none of the questions on this page.

Keeping your system is a supported outcome, not a fallback. If you later want to move to the CareVixis platform, that move may be offered at no additional migration charge. Keeping the EHR you already have carries no monthly software fee from CareVixis, so the decision is about what you want rather than about price.

Keep TherapyNotes. Change what happens after the data comes back.

Questions TherapyNotes Practices Ask

Does CareVixis work with TherapyNotes?

Yes, in the sense that matters: a practice can keep TherapyNotes and have CareVixis manage the revenue cycle around it. CareVixis claims no API integration, certification or partnership with TherapyNotes. What is agreed before any commitment is which revenue-cycle data can be obtained and how.

Do I have to replace TherapyNotes?

No. Keeping it is a supported outcome, not a fallback. Your clinicians know it, your notes are in it, and replacing it would not answer the questions that usually bring a practice here, which are about what happens to claims after they leave the software.

What does TherapyNotes do in the billing process?

TherapyNotes describes itself as a complete practice management system for behavioral health. Its published billing features include electronic claim submission through integrated clearinghouse features, claim scrubbing, eligibility checking, claim status tracking, receiving and posting ERAs, client statements, superbills and billing reports.[1][2]

Why do my TherapyNotes claims keep getting denied?

Submission and adjudication are different events. A claim can leave TherapyNotes correctly, pass scrubbing, and still be denied on the payer's own policy for authorization, credentialing, coverage or medical necessity. The reason code in the ERA says what the payer did. It does not say why it happened in your practice, which is what claim root cause analysis works out.

What is the difference between TherapyNotes and VixisIQ™?

TherapyNotes runs the practice: notes, scheduling, claim submission and payment posting. VixisIQ™ analyzes the revenue-cycle and remittance data that process produces, across payers and over time, to surface denial patterns, adjustments, payer behavior and A/R trends. One records what happened; the other explains it.

Can ERA data from a TherapyNotes practice be analyzed?

Electronic remittance advice is a standardized transaction, which is what makes analysis across payers possible at all. Where appropriate data can be obtained and normalized, VixisIQ™ can analyze the resulting remittance information. What is available differs by practice, so the scope is confirmed up front rather than assumed.

What should I look for in a billing company for a TherapyNotes practice?

That it will work inside your existing TherapyNotes workflow rather than require a move, that it understands behavioral health reimbursement specifically, that it investigates a repeat denial instead of only reworking it, that it analyzes remittance data rather than only posting from it, and that you can see where things stand without asking.

Will I lose the reporting I have now?

No. Nothing here removes a feature of your software. TherapyNotes keeps doing what it does, and the analysis sits alongside it rather than replacing any part of it.
