For practices using SimplePractice

You're the Therapist and the Billing Department.

SimplePractice is built so you can run insurance yourself, and a lot of practices do exactly that. It still will not tell you why a claim came back, or whether the same denial has been arriving quietly for months. Keep SimplePractice. Add the part that asks why.

Start with the free CareVixis practice assessment. No email required.

U.S. team U.S. data centers Live support 24/7 Zero outsourcing Work directly with your team

You Are the Clinician and the Billing Department.

SimplePractice made that possible, and for a lot of solo practices it is genuinely the right setup.

The submitting part it does well.

Submitting and Understanding Are Different Jobs.

Filing a claim is a task. Working out why a payer behaved the way it did is a different kind of work, and it happens after your clinical day has already ended.

So It Happens at Nine at Night, or Not at All.

The denial waits for the weekend. Then the next weekend. It is not negligence, it is a second job nobody has time for.

The claims that quietly never get reworked are the ones that cost the most.

We Take the Billing Job.

CareVixis works what came back on a schedule, reads each remittance, and records why a claim was denied, so your billing follow-up stops depending on whether you had an evening free.

Keep SimplePractice.

Your notes, your calendar and your client portal stay exactly where they are. Only the billing you were doing after hours moves.

Keep SimplePractice. Stop being your own billing department.

The detail

Everything below is the evidence for what you just read.

What SimplePractice publishes about its own platform, why submitting and understanding are different jobs, a ten-question framework you can put to any billing company, and the source for every fact on this page. If you have what you came for, you can stop here.

Can I keep SimplePractice and use a billing company?

Yes. The software that documents care and the people responsible for the revenue cycle are two separate decisions, and practices separate them all the time.

CareVixis treats keeping SimplePractice as a supported outcome, not a fallback, and claims no API integration, certification or partnership with SimplePractice. What gets agreed before any commitment is which revenue-cycle data can be obtained, and how.

Credit where it is due

SimplePractice Already Does the Submitting Well

This is not a page about your software being inadequate. Everything below is SimplePractice's own published description of its insurance workflow.[1][2]

SimplePractice insurance capability as SimplePractice publishes it. CareVixis has not independently tested these features and states them as the vendor's own descriptions.
What it doesHow SimplePractice describes it
End to end claim handling"Create, submit, track, reconcile, and invoice all in one place."
ERA"Integrated payment reports (ERAs) automate insurance accounting", with "an automated ERA enrollment" to start receiving electronic remittance advice sooner.
Batch submission"Create and submit batches of in-network claims in just a few clicks", with repetitive edits turned into automated rules.
Error catching"Reduce rejected claims with built-in tools that catch common issues before submission and make it easy to fix and resubmit denied claims without starting over."
EligibilityVerify a client's insurance status for "a more accurate view of a client's mental health insurance coverage before appointments".
One billing hubA "centralized billing hub brings together action items, claims, and payments".
Credentialing offerSimplePractice publishes an offer to get a practice "paneled with up to two payers" on sign up.
Practice reportingAnalytics and reports, alongside scheduling, telehealth, client portal, documentation and marketing features.

A solo practice using all of that is running a tighter billing operation than many groups with staff. The gap on this page is not a feature you are missing.

The gap

Submitting a Claim and Understanding One Are Different Jobs

When you are the clinician and the biller, the billing gets done in the gaps: between sessions, at the end of the day, on Sunday. In those gaps you do the urgent thing, which is the claim in front of you.

Nobody is doing the other thing. Nobody is putting this month's denials next to last month's, noticing that one payer started adjusting one code in March, or checking whether the fix you made in April actually held.

That is not a failure of effort or of software. It is a job that has no owner in a single-person practice, and it is the job that decides how much of what you earned you actually keep.

What gets done

  • The claim goes out.
  • The rejection gets fixed and resent.
  • The payment gets posted.
  • The balance gets invoiced.

What almost never gets done

  • Asking why that claim failed.
  • Counting how often the same cause repeats.
  • Checking payments against the contracted rate.
  • Chasing a balance that quietly aged past a filing limit.
Conceptual workflow

Where This Fits Around What You Already Run

An illustration of the general flow for a practice keeping SimplePractice. It is not a description of any specific configuration, and the exact arrangement is confirmed per practice.

  1. SimplePracticeThe session is documented, the claim is created, checked and submitted.
  2. Clearinghouse and payerThe claim is transmitted and adjudicated, or rejected before adjudication.
  3. The remittance comes backPayment, adjustment, denial and patient responsibility, with the payer's reason and remark codes.
  4. VixisIQ™Where appropriate data can be obtained and normalized, the remittance information is analyzed for patterns by payer, service line and time.
  5. VixisTrace™An individual problem claim is investigated for a root cause rather than only corrected and resent.
  6. Someone other than you owns the follow-upCorrective action, a named owner, a due date, and recurrence monitored so you can tell whether it worked.
One place this bites hardest

Getting Paneled Is the Start, Not the Finish

SimplePractice publishes a credentialing offer, and getting paneled with a payer is real, useful help when you are starting out.

What comes after it is a different job. Effective dates have to be tracked against the claims you are actually submitting. Revalidations come due. A payer moves you between networks. Add a clinician and the whole cycle starts again for them.

When that goes wrong, the denial almost never says "credentialing". It arrives looking like a coding or coverage problem, gets reworked as one, and comes back again next month. Behavioral health credentialing goes into this in more depth.

A framework you can use on anyone

What Should You Look for in a Billing Company for a SimplePractice Practice?

Nine questions worth asking any billing or revenue management company, CareVixis included. They matter more, not less, for a small practice: you have the least time to supervise a vendor.

  1. Will they work inside SimplePractice, or make you move?

Ask what they need from it and what changes if you keep it. A required migration is a cost and a risk that belongs in the comparison.

  2. Do they understand behavioral health, not billing in general?

Ask about authorization limits on ongoing therapy, carve-out plans and how different licence types are reimbursed.

  3. What happens the third time the same denial arrives?

Reworking recovers the claim. Root cause analysis is what stops the fourth one.

  4. Do they analyze the remittance data, or only post from it?

Posting is bookkeeping. Analysis means reason and remark codes are counted across payers and over time.

  5. Who watches your A/R and your filing limits?

Ask at what age a balance gets attention and who tells you before something is written off.

  6. Who owns credentialing after you are paneled?

Effective dates, revalidations and adding clinicians are revenue events, not admin.

  7. What will you see without having to ask?

Then the harder version: what would have told you a claim had not moved in 60 days?

  8. Is the work done in the United States?

Ask about subcontractors as well as staff. CareVixis is 100% US based and does not outsource.

  9. What does it cost, and what is the smallest version?

A solo practice should not be sold a group practice's engagement. Ask what the minimum sensible arrangement looks like.

Using SimplePractice? Keep It.

You chose software that lets a small practice run its own insurance, and it does that. CareVixis has no interest in taking it away from you, and a migration would answer none of the questions on this page.

Keeping your system is a supported outcome, not a fallback. If you later want to move to the CareVixis platform, that move may be offered at no additional migration charge. Keeping the EHR you already have carries no monthly software fee from CareVixis.

Questions SimplePractice Practices Ask

What does SimplePractice handle for insurance?

By its own description, SimplePractice lets a practice create, submit, track, reconcile and invoice in one place, with integrated payment reports (ERAs), automated ERA enrollment, batch submission of in-network claims, tools that catch common errors before submission, and verification of a client's insurance status before appointments.[1]

If SimplePractice already submits my claims, what is missing?

Nothing on the submission side. What is missing is the question nobody owns: why a claim came back, and whether that cause is repeating. Software records each claim; it does not investigate one or count the pattern across hundreds of them over months.

SimplePractice offers credentialing. Is that the same as credentialing management?

No. Getting paneled with a payer is the start. Ongoing credentialing management means tracking effective dates against the claims you are submitting, revalidations, adding clinicians, and catching the denials that are really enrollment problems wearing a coding problem's reason code.

I am a solo therapist doing my own billing. Is this for me?

It depends on what your time is worth and what you are losing. If claims mostly pay and you can see what is outstanding, keep doing it. The assessment is free and takes minutes, and if nothing is wrong, that is a useful answer too.

What is the difference between SimplePractice reports and VixisIQ™?

SimplePractice analytics describe your practice: appointments, income, outstanding balances. VixisIQ™ analyzes revenue-cycle and remittance data across payers and over time to surface denial and adjustment patterns, payer behavior and A/R trends. One reports the numbers; the other explains them.

Will I lose anything I use today?

No. Nothing here removes a feature of your software. SimplePractice keeps doing what it does, and the analysis sits alongside it.
