Chiropractic revenue management, for practices on ChiroSpring

Most of Your Claims Reach Final Reimbursement. Where Did the Others Stop?

ChiroSpring describes itself as supporting the full patient journey, from the first appointment to final reimbursement. For the majority of claims that is an accurate description of what happens, and it is the reason the software is worth having. The money a practice actually loses is concentrated in the minority that stop somewhere along that journey and never resume, because nothing in a clean workflow is designed to notice an absence.

Most of Your Claims Are Fine.

ChiroSpring takes the ordinary claim from the first appointment through to final reimbursement.

That is most of them, and it is why the software earns its place.

Software Reacts to Things Arriving.

An appointment, a note, a charge, a claim, a remittance. Something shows up and the next step happens.

That is the right design, and it is why the normal path is smooth.

The Expensive Failures Are Absences.

The remittance that never came. The appeal nobody chased. The balance that has not moved in ninety days.

Nothing arrives, so nothing is triggered, and nobody knows.

Finding an Absence Takes a Different Habit.

Somebody looking for what should have happened and did not, on a fixed schedule.

Not because something prompted them, but because it is the day they look.

Keep ChiroSpring. Hand Over the Rest.

CareVixis manages denials, appeals, accounts receivable, payer follow-up and credentialing around your existing workflow.

Nothing clinical changes.

ChiroSpring handles the claims that behave. CareVixis handles the rest.

The detail

The detail, if you want it

What ChiroSpring publishes about itself, why clean workflows miss absences, where a chiropractic claim stops short of payment, and what to ask a billing company when your software already bills.

If the software handles billing, what is left for a billing company?

The exceptions, and the follow-through. Producing and sending a correct claim is a solved problem in modern chiropractic software. Working a denial, building an appeal, calling a payer, pursuing an underpayment and clearing an aged balance are labour, not features, and they are what a revenue cycle partner is for.

The practice keeps ChiroSpring and its whole workflow. CareVixis has no API integration, native integration, certification or partnership with ChiroSpring and claims none.

What ChiroSpring Publishes About Itself

['ChiroSpring describing ChiroSpring, quoted from its own site and cited below.', 'Its own framing is a useful boundary: the platform “supports the full patient journey, from the first appointment to final reimbursement”. The gap

A Clean Workflow Is Built to Handle Presence, Not Absence

Every step in a modern practice platform is triggered by something arriving: an appointment, a note, a charge, a claim, a remittance. That is exactly right, and it is why the ordinary path works so smoothly.

But the expensive failures are absences. The remittance that never came. The secondary that was never adjudicated. The appeal that was written and never followed up. The balance that has not moved in ninety days. Nothing arrives to trigger a response, so the workflow stays quiet and the practice stays unaware.

Catching an absence takes a different mechanism: somebody or something looking for what should have happened and did not, on a fixed cadence, whether or not anything prompted it.

What arrives and gets handled

  • The booking and the intake form.
  • The note and the charge.
  • The claim and its acknowledgement.
  • The remittance and the posting.

What never arrives and waits

  • A response that simply did not come.
  • An appeal nobody chased.
  • A secondary that never adjudicated.
  • A balance sitting past ninety days.
Where the money actually goes missing

Where a Chiropractic Claim Stops Short of Final Reimbursement

Each of these is a claim that left the practice correctly and did not come back as money.

The coverage determination

Chiropractic coverage turns on whether care is active treatment or maintenance, which no template can decide. CareVixis sets out the published rule on its chiropractic revenue management page.

The level the note supports

98940, 98941 and 98942 differ by how many spinal regions were treated, with 98943 for extraspinal. A downcode is a documentation conversation, not a claim correction.

Rejected, not denied

A rejection fails before adjudication and was never processed as a claim, so there is nothing to appeal. It needs correcting and resending, and it is easy to mistake for a denial.

Silence from the payer

No denial, no payment, no acknowledgement. Nothing arrives, so nothing prompts anyone, and the filing clock runs regardless.

Paid, but not in full

An underpayment settles the claim as far as every worklist is concerned. Only a comparison against the contract finds it.

Liability balances

Chiropractic carries an unusually high share of auto and personal injury work, which ages on a completely different schedule from commercial claims.

CareVixis publishes no denial rate, recovery rate or resolution time, and does not suggest any practice experiences all of this. What is happening in a particular practice is a question for its own data.

Conceptual workflow

Where This Fits Around What You Already Run

Where a chiropractic claim goes on ChiroSpring, and where CareVixis joins it. The first four steps are the practice’s existing workflow and do not change.

  1. Booking and intakeThe patient books and completes intake before arriving, so the visit starts with the information already in place.
  2. DocumentationThe note is produced from templates and macros, and the charge follows from it.
  3. Billing workflowThe claim is produced and submitted through the practice’s existing billing workflow.
  4. Payer decision, or nonePaid, adjusted, denied, rejected before adjudication, or nothing at all. The last case is the one no workflow reacts to.
  5. VixisIQ™CareVixis revenue intelligence reads the resulting remittance information, where appropriate data can be obtained and normalized, and looks for what should have arrived and did not.
  6. VixisTrace™For a claim that stopped, CareVixis claim root cause analysis works eight stages: Detect, Investigate, Identify, Correct, Prevent, Resubmit, Verify, Monitor.
  7. The CareVixis teamPeople pick up the appeal, the unanswered payer, the silent claim and the balance nothing triggered. Denials are worked the day they arrive; submitting the corrected claim or appeal the same day is the CareVixis standard.
A framework you can use on anyone

What to Ask a Billing Company If Your Software Already Bills

Put these to CareVixis as well. If the software handles the ordinary path, the questions worth asking are all about the exceptions.

  1. What is your process for a claim with no response?

Not a denial. Silence. Ask for the interval at which somebody chases one, and what happens if nobody does.

  2. How do you tell a rejection from a denial?

They need different responses and one of them cannot be appealed. Ask how their process branches.

  3. Who follows up an appeal that was never answered?

Writing the appeal is the visible work. Ask who owns the week after it was sent.

  4. What catches a claim that paid, but not fully?

It settled, so every workflow treats it as finished. Ask for the check that runs anyway.

  5. What is reviewed on a schedule rather than on a trigger?

Absences need a cadence. Ask what gets looked at even when nothing prompted it.

  6. Who decides whether care is active treatment?

The clinician decides and the documentation supports it. A billing company offering to make that call is offering the wrong thing.

  7. Who works the liability cases?

Ask specifically, because they behave nothing like a commercial claim and a general process tends to skip them.

  8. Do you handle credentialing?

Enrollment effective dates produce denials that read as coding problems, so there is value in one partner seeing both.

  9. Who picks up the phone when we call?

Ask whether the people working your claims are reachable. CareVixis is 100% US based and does not outsource.

Using ChiroSpring? Keep It.

Your booking, intake, notes, billing and reporting already run in it and your team is fluent. Nothing on this page is an argument for changing that.

Keeping your system is a supported outcome, not a fallback. CareVixis manages the revenue cycle around whatever a practice runs. If a practice later wants to move to the CareVixis platform, that move may be offered at no additional migration charge, and everything the patient sees still carries the practice’s own name and branding.

Keep ChiroSpring. Chase what never came back.

Straight answers

Questions Chiropractors Ask About ChiroSpring and Billing

Does CareVixis work with practices using ChiroSpring?

Yes. CareVixis provides chiropractic revenue cycle management for practices on ChiroSpring. The practice keeps ChiroSpring and CareVixis manages denials, accounts receivable, payer follow-up and credentialing around it.

Do I have to replace ChiroSpring to work with CareVixis?

No. ChiroSpring does not need to be replaced. Scheduling, intake, documentation, billing and reporting stay exactly where they are.

ChiroSpring already handles billing. Why add CareVixis?

Because producing and sending a correct claim is a different job from working the ones that fail. Denials, appeals, payer calls, underpayments and aged balances are labour rather than features.

What is the difference between a rejected and a denied claim?

A rejection fails before adjudication, at the clearinghouse or the payer front end, and was never processed as a claim, so there is nothing to appeal and it must be corrected and resent. A denial is a payer decision made after adjudication and can be appealed.

What is VixisIQ™?

VixisIQ™ is the CareVixis revenue intelligence technology. It analyses revenue cycle and remittance data to surface payment patterns, adjustments, denial and rejection patterns, payer behaviour and accounts receivable trends. What it can analyse for a particular practice depends on the data that practice is able to make available.

What is VixisTrace™?

VixisTrace™ is the CareVixis claim root cause analysis technology, covering rejected, denied, underpaid and otherwise problematic claims across eight stages. The objective is continuous improvement: identify preventable patterns, address their causes, and reduce unnecessary repeat failures.

Can CareVixis pursue balances our workflow never flagged?

Yes. Legacy accounts receivable is taken on separately and charged on what is recovered rather than on the balance handed over. Terms are on the pricing page.

Does CareVixis cover credentialing?

Yes, through VixisCred™, which matters because an enrollment problem usually arrives disguised as a coding denial. See the pricing page.
