These Terms and Conditions ("Terms") are effective as of May 1, 2026. They apply to all use of the website located at www.carevixis.com ("Website"), all contact and intake forms on this Website, all chat communications initiated through this Website, and all services provided by CareVixis Medical Practice Back-Office Solutions ("CareVixis," "we," "us," or "our").
By accessing or using this Website, by submitting any form on this Website, by initiating a chat conversation through this Website, or by entering into a service agreement with CareVixis, you ("you," "your," or "practice partner") agree to be bound by these Terms in full. If you are using this Website or engaging CareVixis on behalf of a medical practice, healthcare organization, or other entity, you represent that you have the authority to bind that entity to these Terms, and "you" refers to that entity.
If you do not agree to these Terms, do not use this Website and do not submit any information through it. Your continued use of this Website after any revision to these Terms constitutes your acceptance of the revised Terms.
These Terms should be read alongside our Privacy Policy, which is incorporated by reference and forms part of the complete agreement between you and CareVixis.
Description of Services
CareVixis is a full-service medical practice back-office solutions provider. CareVixis is not merely a billing company -- it is a revenue-generating, industry-monitoring, practice-building machine. The following describes the full scope of services CareVixis provides to practice partners.
Revenue Cycle Management and Medical Billing
CareVixis provides comprehensive medical billing and revenue cycle management (RCM) services. This includes charge capture and entry, claim submission to all major commercial and government payers, insurance eligibility verification, claim tracking and follow-up, and full accounts receivable management. CareVixis's proprietary coding engine and proprietary claims processing workflow are designed to maximize clean claim rates and accelerate payment timelines.
Claims Processing
CareVixis processes claims across all specialty types and payer categories, including Medicare, Medicaid, commercial insurance, workers' compensation, and self-pay. Claims are scrubbed for errors before submission using CareVixis's proprietary engine to reduce rejection rates. Electronic remittance advice (ERA) and electronic funds transfer (EFT) enrollment are managed as part of the standard service.
Denial Management
CareVixis operates a full denial management program. Denied claims are reviewed, root-cause categorized, and appealed within carrier-specific timelines. CareVixis tracks denial patterns across the practice's payer mix and applies its proprietary process to identify systemic denial causes and correct them at the source to prevent future denials of the same type.
Accounts Receivable Recovery
CareVixis performs active accounts receivable (AR) recovery work on aged and stalled claims. This includes working claims that have been pending for more than 30 days, pursuing unpaid secondary claims, reworking rejected remittance items, and managing the full AR aging report to drive outstanding balances toward resolution.
Patient Billing
CareVixis manages patient-facing billing communications, including statement generation, patient balance notifications, payment plan setup, and coordination of patient payment options. All patient billing communications are handled with professionalism, accuracy, and full compliance with applicable federal and state billing regulations.
Coding Optimization
CareVixis provides coding review and optimization services to ensure that procedure and diagnosis codes accurately reflect the clinical documentation and are optimized for payer acceptance and reimbursement. CareVixis uses its proprietary coding engine to analyze coding patterns, identify undercoding or upcoding risks, and recommend corrections. CareVixis coders are experienced in ICD-10-CM, CPT, and HCPCS Level II coding across all major medical specialties.
Credentialing
CareVixis handles provider credentialing and re-credentialing with all major payers. This includes initial application preparation and submission, primary source verification, follow-up with payer credentialing departments, and tracking of credentialing status through to approval. CareVixis also manages state medical license verifications, DEA registration tracking, and hospital privilege renewals as part of the credentialing workflow.
Prior Authorization Management
CareVixis manages prior authorization requests on behalf of practice partners. This includes identifying which procedures and services require prior authorization, gathering required clinical documentation, submitting authorization requests to payers, tracking authorization status, and communicating approvals and denials to the practice. Prior authorization management is included as a standard component of the CareVixis service offering.
Website Design and Digital Marketing
CareVixis provides website design, development, and digital marketing services to practice partners. Websites are built with SEO optimization, mobile responsiveness, HIPAA-compliant contact forms, and patient engagement features. Digital marketing services include search engine optimization (SEO), Google Business Profile management, and online reputation support. All custom development work is included at no additional cost to practice partners.
Business Telecommunications
CareVixis provides business telecommunications infrastructure and services to practice partners through a fully integrated back-office platform. Telecommunications services include business phone lines, call routing, voicemail management, and an intelligent call management system. Telecommunications infrastructure is delivered in partnership with SIPLYPhone.com, a sister company of CareVixis.
SMS Appointment and Payment Reminders
CareVixis operates a fully compliant 10DLC-registered SMS messaging program that delivers appointment reminders, payment reminders, billing notifications, and account information messages to patients of practice partners. All SMS communications are sent only with prior express written consent from message recipients and in full compliance with the Telephone Consumer Protection Act (TCPA) and 10DLC requirements. See the "Consent to Communications" section of these Terms for complete details.
Full EMR/EHR Systems
CareVixis provides full electronic medical records (EMR) and electronic health records (EHR) system access and management to practice partners. These systems support clinical documentation, patient records management, e-prescribing, lab integrations, and billing workflow integration. All EMR/EHR data is stored in HIPAA-compliant, US-only data centers.
Practice-Branded Telemedicine
CareVixis provides practice-branded telemedicine platforms that allow practice partners to conduct secure virtual visits with patients under their own practice brand. Telemedicine platforms are HIPAA-compliant, patient-accessible via standard devices, and fully integrated with the practice's billing and scheduling workflows.
Transcription and Clinical Note Taking
CareVixis provides medical transcription and clinical note-taking services to support accurate and timely clinical documentation. Transcription services convert provider dictation and clinical audio into formatted clinical notes compatible with the practice's EMR/EHR system. All transcription work is performed in the United States with zero offshore processing.
Custom Development
CareVixis develops custom tools, integrations, workflows, and automations for practice partners as needed. Every line of code is written in the United States by CareVixis. Custom development is included at no additional cost to practice partners and is not treated as a billable service add-on.
Eligibility
The services offered by CareVixis are intended for medical practices, licensed healthcare providers, group practices, healthcare organizations, and the authorized administrative personnel of those entities. By using this Website or engaging CareVixis for services, you represent and warrant each of the following:
- You are at least 18 years of age.
- You are a licensed healthcare provider, the owner or authorized representative of a medical practice, or an administrative employee or agent acting with authority on behalf of a licensed healthcare provider or practice.
- You have the legal authority to enter into agreements on behalf of the practice or entity you represent.
- Your use of CareVixis services will not violate any applicable law, regulation, or professional obligation.
- All information you provide to CareVixis is accurate, complete, and current at the time it is provided.
- You will update CareVixis promptly if any information you have provided changes in a material way.
CareVixis reserves the right to decline to provide services to any entity or individual at its sole discretion and without obligation to provide a reason for that decision. Acceptance of an inquiry form submission or initiation of a consultation does not constitute a binding obligation by CareVixis to enter into a service agreement.
CareVixis does not provide services to individuals seeking personal medical care. This Website is not a patient portal and does not accept patient inquiries about clinical care, diagnoses, treatment, or prescriptions. Patients of a practice partner should contact their practice directly.
User Obligations
By using this Website or entering into a service relationship with CareVixis, you agree to the following obligations. These obligations apply to your use of the Website, your communications with CareVixis, and your conduct as a practice partner.
Accuracy of Information
You agree to provide accurate, complete, and truthful information in all forms, conversations, service agreements, and communications with CareVixis. Providing false, misleading, or materially incomplete information -- whether in an inquiry form, during onboarding, or at any point during the service relationship -- is a material breach of these Terms and may result in immediate termination of the service relationship without liability to CareVixis.
You agree to promptly notify CareVixis of any change in your practice information, payer relationships, provider roster, licensing status, or other material information that may affect the delivery of services.
Authorized Representative
If you are using this Website or engaging CareVixis on behalf of a practice or organization, you represent that you are an authorized representative of that practice or organization with full authority to bind it to these Terms and to any service agreement executed with CareVixis. CareVixis is entitled to rely on your representation of authority without independent verification.
If you are a third party (such as a practice management consultant or healthcare attorney) acting on behalf of a practice, you represent that you have a valid, current authorization from that practice to act as its agent and that you will not use CareVixis services for any purpose outside the scope of that authorization.
Prohibited Uses
You agree not to use this Website or CareVixis services for any of the following purposes:
- Submitting false, fraudulent, or fabricated claims to any payer, insurer, or government program. This includes claims for services not rendered, claims with inflated codes or units, claims for patients who did not receive the billed service, and any other form of healthcare fraud.
- Violating any applicable law or regulation, including without limitation the False Claims Act, Anti-Kickback Statute, Stark Law, HIPAA, TCPA, CAN-SPAM Act, or any state healthcare billing or fraud statute.
- Attempting to gain unauthorized access to CareVixis systems, infrastructure, data, or the data of other practice partners.
- Submitting malware, scripts, injection attacks, or any malicious code through any form or communication channel on this Website.
- Misrepresenting your identity, credentials, or authority to CareVixis.
- Using CareVixis services or data for any purpose not disclosed in your service agreement.
- Reverse engineering, decompiling, or attempting to extract the source code, logic, or proprietary algorithms of any CareVixis technology, platform, or tool.
- Sharing, reselling, sublicensing, or transferring access to CareVixis platforms or services to any third party without explicit written authorization from CareVixis.
Violation of any prohibited use provision is grounds for immediate termination of services and may expose you to civil and criminal liability under applicable law.
Cooperation
Effective delivery of CareVixis services requires your active cooperation. You agree to provide timely access to documentation, records, payer portals, credentialing materials, and other information that CareVixis needs to perform its services. Delays caused by failure to provide requested information in a timely manner are not the responsibility of CareVixis and will not affect your billing obligations under any service agreement.
Consent to Communications
This section governs all communications between CareVixis and you, including SMS/text messages, email, phone calls, and chat. Please read this section carefully. It contains important disclosures required by the Telephone Consumer Protection Act (TCPA), the CAN-SPAM Act, and 10DLC carrier requirements.
SMS/Text Message Consent -- 10DLC and TCPA
SMS messages sent by CareVixis on behalf of practice partners are sent to patients who have provided prior express written consent during in-person patient intake at the healthcare practice. SMS consent is not collected through this Website. Consent is collected via a physical consent form that is printed at the practice, reviewed with the patient, signed by the patient, and uploaded to the patient's electronic medical record. The EMR/EHR system enforces consent -- no text message can be sent to a patient's number until a signed consent document is on file.
Visiting this Website, submitting a form on this Website, or providing a phone number for call-back purposes does not constitute consent to receive SMS messages. Consent to receive SMS messages is never a condition of receiving treatment, payment, or any services.
Text Messaging / SMS Disclosures
The following disclosures apply to SMS/text messages sent by CareVixis on behalf of its practice partners:
- Messages are sent by CAREVIXIS INC on behalf of the healthcare practice identified in each message.
- Message frequency varies based on patient care needs. During active care, patients may receive appointment reminders, prescription notifications, test result notifications, billing reminders, and general health information messages. Frequency depends on the patient's treatment schedule and billing activity.
- Standard message and data rates may apply. CareVixis does not charge separately for SMS communications, but your wireless carrier may bill you for incoming and outgoing text messages depending on your wireless plan.
- To opt out: Reply STOP to any text message to unsubscribe. Your opt-out will be honored immediately and no further messages will be sent. Standard opt-out keywords including CANCEL, END, QUIT, UNSUBSCRIBE, and STOPALL are also honored.

- Consent is not required as a condition of service. Patients may decline SMS consent during intake and will still receive full medical care. Opting out of text messages does not affect the patient's ability to receive treatment or any other services.

SMS Consent for Patient Communications (Practice Partners)
If you are a practice partner, CareVixis operates an SMS messaging program on your behalf to send appointment reminders, payment reminders, billing notifications, and account information to your patients. SMS consent is collected in-person at the practice during patient intake via a physical consent form that the patient signs. CareVixis provides the consent form templates, disclosure language, and digital consent record management through the EMR/EHR system. The system will not allow SMS messaging to a patient until a signed consent document has been uploaded to the patient's record.
Practice partners are responsible for presenting the consent form to each patient, obtaining the patient's signature, and uploading the signed form to the patient record. Practice partners may not direct CareVixis to send messages to any patient who has not provided the required signed consent. Practice partners indemnify CareVixis against any TCPA claim or regulatory action arising from consent that was improperly collected, falsely documented, or not collected at all by the practice prior to providing a phone number to CareVixis for messaging purposes.
Email Communications
By submitting an inquiry form on this Website, you agree to receive email communications from CareVixis in response to your inquiry. These transactional response emails are not marketing emails and do not require separate opt-in under the CAN-SPAM Act. CareVixis does not send unsolicited bulk marketing emails. If you receive email communications from CareVixis that you did not initiate, you may opt out by following the unsubscribe link in any email or by contacting us directly at jeff@carevixis.com.
Phone Calls
By providing your phone number in an inquiry form and requesting a call-back, you consent to receiving a return call from CareVixis at the number you provided. CareVixis does not make unsolicited outbound sales calls. All outbound calls are made to individuals who have expressed interest in CareVixis services through a voluntary form submission, chat message, or direct contact.
Chat Widget
This Website includes a live chat widget that connects you directly to Jeff Norton, founder of CareVixis. The chat widget is not a bot or automated response system. It is a direct communication line to a real person. Messages sent through the chat widget are stored on CareVixis servers. By using the chat widget, you agree to the terms of this section and the terms of our Privacy Policy governing chat data.
Intellectual Property
All content, technology, and materials associated with CareVixis are the exclusive intellectual property of CareVixis Medical Practice Back-Office Solutions or are used by CareVixis under license. This section describes those rights and the limits on your use of CareVixis intellectual property.

- The CareVixis brand name, service marks, and any taglines or marketing language associated with the CareVixis brand
No content or technology from this Website may be reproduced, copied, modified, distributed, published, uploaded, posted, transmitted, or exploited in any way without the prior written permission of CareVixis, except as explicitly permitted by these Terms.
Limited License to Use This Website
CareVixis grants you a limited, non-exclusive, non-transferable, revocable license to access and use this Website for the sole purpose of evaluating or engaging CareVixis services for your medical practice. This license does not include the right to:

Proprietary Technology
CareVixis's proprietary coding engine, proprietary claims processing engine, proprietary denial analysis process, and all other proprietary algorithms and processes used in delivering CareVixis services are trade secrets of CareVixis. You agree not to attempt to reverse-engineer, decompile, disassemble, or otherwise derive the logic or source code of any CareVixis proprietary technology, whether through direct access, observation of outputs, or any other method. Any such attempt constitutes a material breach of these Terms and may constitute misappropriation of trade secrets under applicable law.
Feedback and Suggestions
If you submit feedback, ideas, suggestions, or feature requests to CareVixis -- whether through a form, chat, email, phone call, or any other channel -- you grant CareVixis a perpetual, irrevocable, worldwide, royalty-free license to use, implement, modify, and commercialize that feedback in any way CareVixis sees fit, without compensation or attribution to you. You represent that any feedback you provide is your own original idea and does not infringe any third-party intellectual property rights.

CareVixis reserves the right to assume the exclusive defense and control of any matter subject to indemnification by you, in which case you agree to cooperate fully with CareVixis in asserting any available defenses. Your indemnification obligation survives the termination of these Terms and any service agreement.

CareVixis does not use offshore, foreign, or cloud providers with data residency outside the US. This is a firm operational standard, not a marketing statement.
Zero Outsourcing
CareVixis does not outsource any billing, coding, data entry, customer service, or technical operations to offshore or foreign entities. Every person who accesses your data or performs work related to your account is located in the United States, is subject to US law and HIPAA requirements, and operates under CareVixis's internal security policies. There are no offshore contractors, no foreign subprocessors, and no data processing arrangements outside US jurisdiction.
No Third-Party Form Services
CareVixis does not route form submissions through any third-party service. When you submit a form on this Website, your data travels directly from your browser to CareVixis servers via an encrypted HTTPS connection. It does not pass through Formspree, Mailchimp, HubSpot, Salesforce, Typeform, or any other intermediary platform. Your data is under CareVixis's direct control from the moment you submit it.
HIPAA Compliance

Every practice partner relationship involving PHI is governed by a fully executed Business Associate Agreement (BAA) prior to any exchange of PHI. Encryption
All data stored by CareVixis is encrypted at rest using AES-256 encryption. All data in transit between your browser and CareVixis servers is encrypted using TLS 1.2 or higher. CareVixis does not permit unencrypted transmission of personal information under any circumstances.
Incident Response
In the event of a confirmed or suspected security incident involving personal information or PHI, CareVixis has a documented incident response plan that includes immediate containment, investigation, remediation, and legally required notifications. Practice partners will be notified without unreasonable delay in the event of a breach affecting their data, in accordance with HIPAA's Breach Notification Rule and applicable state law.
Modification of Terms
CareVixis reserves the right to modify, update, or revise these Terms at any time. When we make changes, we will update the "Effective Date" at the top of this page to reflect the date the revised Terms take effect. We will also take the following steps for material changes:
- For changes that significantly affect the rights or obligations of Website users, we will post a prominent notice on the homepage of this Website for at least 30 days following the effective date of the change.
- For changes that significantly affect the rights or obligations of active practice partners under a service agreement, we will provide direct written notice to the practice partner at the email address on file for the account.
- Changes required by law or regulatory guidance will take effect immediately upon the effective date stated in the revised Terms, regardless of whether advance notice is practicable.
Your continued use of this Website after the effective date of revised Terms constitutes your acceptance of the revised Terms. If you do not agree with revised Terms, please discontinue use of this Website and contact us to discuss any concerns you have about the changes.
Changes to these Terms do not modify the terms of any signed service agreement between CareVixis and a practice partner unless the service agreement is also amended by mutual written agreement of both parties.
Termination
CareVixis reserves the right to suspend or terminate your access to this Website, or to any CareVixis platform or service, at any time and for any reason, including without limitation if CareVixis believes in good faith that you have violated any provision of these Terms.
Termination for Violation
If CareVixis determines that you have violated these Terms -- including by providing false information, engaging in prohibited uses, misrepresenting your authority, attempting to breach system security, or directing fraudulent billing activity -- CareVixis may immediately suspend or terminate your access without prior notice and without liability. CareVixis will notify you of the termination and the basis for it as soon as practicable after the decision is made.
Termination of Service Agreements
Termination of an active service agreement between CareVixis and a practice partner is governed by the termination provisions of the signed service agreement, not solely by this section. Practice partners should review their service agreement for specific notice requirements, termination procedures, and any obligations that survive termination, including data retention, final billing, and return of records.
Effect of Termination
Upon termination of your access to CareVixis services or platforms, your license to use CareVixis technology is revoked immediately. You must immediately cease using any CareVixis platform, tool, or access credential. CareVixis will provide reasonable access to your practice's data and records following termination in accordance with the terms of your service agreement and applicable law, including HIPAA record retention requirements.
Sections of these Terms that by their nature should survive termination -- including Intellectual Property, Disclaimer of Warranties, Limitation of Liability, Indemnification, Governing Law, and Entire Agreement -- will survive termination of these Terms or any service agreement.
Governing Law
These Terms and any dispute, claim, or controversy arising out of or related to these Terms or your use of this Website ("Dispute") shall be governed by and construed in accordance with the laws of the State of Florida, United States, without regard to its conflict of law provisions.
Any Dispute that is not resolved informally between the parties shall be subject to the exclusive jurisdiction of the state and federal courts located in the State of Florida. By using this Website or engaging CareVixis for services, you consent to the personal jurisdiction of those courts and waive any objection to venue in those courts.

Nothing in this governing law section limits any rights you may have under applicable federal law, including HIPAA, TCPA, the False Claims Act, or other federal statutes that may provide additional remedies or impose different procedural requirements.
Severability
If any provision of these Terms is held by a court of competent jurisdiction to be invalid, unlawful, void, unenforceable, or contrary to public policy, that provision shall be deemed modified to the minimum extent necessary to make it valid and enforceable, or if modification is not possible, it shall be severed from these Terms. The remaining provisions of these Terms will continue in full force and effect as if the invalid or unenforceable provision had never been included.
The severability of any provision of these Terms does not affect the enforceability of any other provision, and the parties' intent as expressed in the surviving provisions shall be given full effect.
Entire Agreement
These Terms, together with the CareVixis Privacy Policy and any signed service agreement between CareVixis and you, constitute the entire agreement between you and CareVixis with respect to your use of this Website and engagement with CareVixis services. These Terms supersede all prior or contemporaneous communications, representations, proposals, negotiations, understandings, and agreements -- whether written or oral -- relating to the subject matter covered by these Terms.
No modification to these Terms will be binding unless it is in writing and signed by an authorized representative of CareVixis. No waiver by CareVixis of any breach of these Terms shall be deemed a waiver of any subsequent breach of the same or any other provision.
If there is a conflict between these Terms and the terms of a signed service agreement between CareVixis and a practice partner, the terms of the signed service agreement will control with respect to the specific subject matter of that conflict.
These Terms do not create any partnership, joint venture, agency, franchise, or employment relationship between you and CareVixis. You do not have the authority to make any commitment or incur any obligation on behalf of CareVixis.
